eCON LUL

Who is it for?
In order to have legal value, the electronic documents that make up the LUL must have elements that
guarantee the authenticity, integrity, reliability and traceability, as required by article 44 of the
Digital Administration Code.
The one who keeps the LULs is obliged to keep them for five years from the date of the last registration
or from the putting into use, and the storage must take place in compliance with the current legislation on the matter
protection of personal data (GDPR and Legislative Decree 101/2018).
Furthermore, in the event of an inspection, the employer must promptly present the required documents.
The eCON LUL service allows the Customer to use the functions of preservation of digital documents
and the operating procedures required by law in SaaS mode.
The service allows you to deposit documents within the prescribed terms, that means the end of
month following the reference month.
eCON LUL allows you to send the documents you want to keep in the most suitable formats
for long-term preservation.
The Entaksi’s preservation system is also compliant with ETSI EN 319 401 and ETSI TS 119 511 standards,
which define the requirements for the provision of the long-term storage service for electronic signatures and seals,
in order to ensure the legal validity to the electronic documents over time.
The features of the service are:

creation of the Submission Information Packages (SIP) with attributes;

release of the digitally signed Deposit Receipt;

archiving and indexing of the IT documents that make up the LULs based on the defined attributes;

execution of the storage process which provides the creation of the Archival Information Packages (AIP), the index generation according to the UNI 11386:2020 SiNCRO standard, the affixing of digital signature and timestamp, the saving of the Archival Information Packages on a support with characteristics of high reliability and permanence of the data and finally the extension of the signature validity until the term of documents preservation.
Thanks to a web interface of Entaksi Console, the user can also request
the selection, the construction and download of the Dissemination Information Packages (DIP)
containing the documents of interest in a self-service way.
The system has a specific search function dedicated to LULs, which allows you to filter documents
based on specific metadata for these types of documents, such as employee ID number, cost center,
professional qualification, etc.
A LUL publication service is also available on a specific management system, in order to display
documents to all users who may request them in a quickly way.
The application functions are provided in Saas mode and are available 24/7, with SLAs established by contract.
The Entaksi Solutions Preservation System complies with what is defined in the "Guidelines on the formation, management and preservation of IT documents" and in the "Regulation on the criteria for the provision of IT document storage services" issued by AgID, which supervises in compliance with the quality and safety criteria of qualified preservation services.
Any integration with a document management system uses the eDOC service provided by Entaksi.
The System complies with the standards required by the aforementioned legislation, such as:

ISO 27001 for information security, including ISO 27017 extensions, with information security controls specific to the cloud, ISO 27018, with controls on the protection of personal data in the cloud, and ISO 27035 for the management of security incidents;

ISO 22301 standard for business continuity management;

ISO 14721 OAIS standard which defines the Open Archival Information System, and the UNI 11386 SInCRO standard for archival package index descriptive structure;

The physical components of the storage system are divided into servers located in various
geographically distributed datacenters.
Entaksi uses redundant systems to ensure business continuity and pays particular attention to data redundancy,
which are distributed over several geographically distant sites with an equal role, or which can operate
either as a primary site or as a disaster recovery site interchangeably.
The sites which host the preservation system information are located within the European Union,
in full compliance with the law.
The data transmission, both between the systems and towards the users' operating stations, takes place by
encrypted protocols, with the use of asymmetric keys based on qualified certificates issued by recognized Authorities.
In order to allow the best integration with the management environment used by the customer, Entaksi has developed a set of APIs in eCON LUL service which allows the execution of all the functions connected to the preservation process, without abandoning the management application context, in a completely transparent way for the final user.
The Entaksi Console web interface allows the Customer:

to search within the document repository, based on the defined indexes;

to view the searched results;

to view the documents resulting from the search made;

to request Dissemination Information Packages (DIP) for the searched documents;

to download the required Dissemination Information Packages;
Commercial information
The eCON LUL service is provided upon payment of an annual fee, which can be divided according to the amount, also including any costs of preparing the IT document of the analogue original one and of the timestamps used during the preservation process.
The fee is determined by the quantity of documents managed in a year, in brackets.
